SnipeIT

What Is SnipeIT and Why Do We Use It?

SnipeIT is PCOM’s inventory management system that keeps track of all of the IT assets and accessories. Equipment from PCs, monitors, laptops to accessories such as keyboards, stylus (exception is Apple Pencil, goes to Asset), and cables are documented on SnipeIT. 

Every time an item on SnipeIT is deployed to faculties or students, the item must be checked-out under their unityID. Upon returning the equipment, the item is then checked-in and may be used again.

3 Categories of SnipeIT

  1. Assets include laptops, pcs, monitors, and other large and distinctive items.
  2. Accessories are smaller items such as keyboard, mouse, cameras, stylus, and other supplementary items.
  3. Licenses

Picking Up New Machines

When someone comes in to pick up a machine, Check the following:

  1. The machine is secured according to our standards.
  2. The user is able to log in normally from a full shutdown.
  3. The user can no longer recreate the initial problem if there was one.
  4. If the machine has been reimaged, check the following:
    • The user’s email is set up properly.
    • The correct users have the correct administrative rights.
  5. If the user had a loaner while we were working on their machine, document the return of the loaner on the inventory spreadsheet.
  6. Make sure PCOM label is on the laptop

Other Notes

What Can Be Loaned to Students

Below are the only things that can be loaned to students as of November 2023. If a student asks if they can use an item not in the list below, please let them know that we are not able to do so. But try to find an alternate solution to meet the student’s needs

  • Laptop and Laptop Charger Pairs (You cannot loan out just the laptop or just the charger)
    • Some may come in bags. You must give the bag as well as the laptop and its charger.

Status and Its Definition

  • Deployable: asset is ready to check out to user for as however long they need it
  • Deployed to user: asset is already deployed to user. 
  • To be surplussed (surplussed is not equal to archive): asset needs to be taken to the surplus closet
  • Under repair: the asset is undergoing repair/maintenance
  • In progress: asset needs to re-imaged, updated, reset, etc before it is given to the user
  • Loaner: When an asset is loaned to a user, they are expected to return the device at a designated time.

People Tab

  • To find which assets and/or accessories are checked out by an user, navigate to People on the left menu
  • Users can be searched by name, email, or unityID
  • Users can also be created by clicking Create New on the top right corner.
  • Enter First Name, Last Name, Username (unityID), and generate password to create an user if they do not exist.
